Cancellation Policy

Plans change. Here’s how we handle cancellations, in plain English.


The terms

The cancellation window is calculated from your check-in date at 3:30 PM Central Time.


How to cancel

Email reanna@sundialsuites.com or text Reanna at (360) 865-9888. Include your name and your reservation date. We’ll confirm the cancellation in writing within 24 hours and process any refund within 7 business days.

You can also cancel from your booking confirmation email, there’s a “Manage your reservation” link that takes you to the Hospitable guest portal.


Force majeure (hurricanes, evacuations, etc.)

If a mandatory evacuation order is issued for Bay County, Florida, that affects your stay, or if we’re unable to honor your booking due to a hurricane, tropical storm, or other event beyond our reasonable control, we’ll offer:

  1. A reschedule to dates within 12 months at the same rate, or
  2. A full refund of your payment

This applies whether you booked direct with us or through Airbnb / Vrbo.


Travel insurance

For peace of mind on bookings inside 30 days, we recommend travel insurance. Companies like Allianz, Travelex, and CSA cover trip cancellation for reasons our policy doesn’t (illness, work changes, family emergencies). They typically run 4-7% of trip cost.

We don’t sell travel insurance, you buy it separately. We mention it because we’d rather you be covered than caught.


Modifications

Need to change your dates rather than cancel? Email or text Reanna. If the new dates are open, we’ll move the booking at no charge. If the new dates are at a higher rate, you’ll pay the difference. If lower, we’ll refund the difference.


Why this policy?

We sized the cancellation windows so we have a fair shot at re-booking your dates if you cancel, and so guests aren’t penalized for legitimate plan changes given enough notice.

We don’t have a corporate policy to hide behind. If something unusual comes up, contact us and we’ll work it out reasonably.
